What is the future workspace like?

Janne Ukkonen's thoughts on building service packages around square meters

”I have been involved in the workspace business for over 15 years and most recently at Office X since 2021. We started experimenting with co-working spaces in Vantaa and Espoo with slightly different concepts, where we aimed to create a service model and sell added value instead of just selling square meters.

Through many twists and turns, we realized that the spaces, locations, and services were not exactly what companies and employees wanted. We left the first experiments behind, gathered the lessons learned, and now we have managed to implement a service package in Jyväskylä’s Grafilan that meets the office space needs of companies.

Currently, the spaces in Jyväskylä are full, and inquiries about the spaces are still coming in. Here are some thoughts on the changing office space needs and thoughts on ”what makes a good office space?” and how to build a service package around it. The most important element at the beginning, when a company starts thinking about a new office space, is definitely the location. Where can people easily get to by car, public transport, and bike? Are services nearby? Does the location even fit the company’s brand and image outwardly? A good location already gets interested parties to look at the spaces and allows negotiations to begin.

So the first step to the negotiation table is taken. After this, many other things are brought to the table that affect the decision. One starts to look at how good a service package is offered to the company. So no longer are just the walls, square meters, and location decisive. People want to be comfortable!

Experientiality is sought through good dining options, gym and other sports facilities, good locker rooms, and break rooms. All of this has become commonplace, and employees of companies are happy to combine a workout during or after work with their workday. Additional value to the day is provided by, for example, a coffee machine from which you can quickly get coffee to go and workstations with variety.

The smoother and more pleasant everything is thought out on behalf of the company and its employees, the more value it produces for each party! When all these things are well implemented in the office space and the service chain works, the client company is also ready to pay more for the office space than just the square meters. At this point, you pay for a service package that extends beyond the square meters of your own office.

Then you start to be strong in the office space business when the company and its employees and customers enjoy the office spaces and want to use them. In addition to creating a service package built around square meters, a new big thing that has clearly come up is the flexibility of the spaces. The spaces must be flexible both in terms of agreement and adaptability. This can be easily enabled, for example, by shared spaces with other companies, so the company does not have to reserve that extra space directly for itself. Workstations are placed in a shared co-working space and common meeting rooms and phone booths are utilized. This way, there is room for adaptation in both directions. When all these elements start to speak together and work, you are quite well off in the office space business. 

We at Office X want to develop the old office space stock to meet current needs, make spaces more efficient, and build the service packages that companies are looking for. Why co-working space?

In recent years, there has been a strong change in people’s working culture. Remote working has become more common and companies’ space needs have become more flexible. With the change, the spaces offered must also be able to be modified to meet the changing needs of companies.

A very typical space need for a company nowadays includes not only its own ”home base” but also a lot of flexibility needs for meeting, social, and project workspaces.

Property owners and managers can implement the new types of office spaces described above, but this is often not something they want to focus on in terms of expertise or resources.
